Volunteering

Eastleigh Swim Club relies heavily upon a dedicated volunteer workforce. Swimmers' parents or guardians are expected to help in some capacity, be it assisting with fundraising, being a member of the Committee, helping with administrative tasks, organising or providing support in whatever capacity you can manage. We welcome help from anyone within the Club whether you can offer a commitment to a role with defined regular tasks or whether you prefer to help on an occasional basis.

There are many roles in the club for which you can volunteer:

Poolside Assistants

Club training sessions and swimming lessons are operated by a mixture of paid coaches/teachers, volunteer coaches/teachers and volunteer assistants. The team ensures that all our swimmers receive fun, effective and safe activities in their sessions.
Swimming Lesson Assistants

Teaching Assistants and Level 1 Teachers. Assist a Level 2 qualified swimming teacher with the delivery of swimming lessons particularly with lesson delivery to non-swimmers.

Coaching Team Assistants

Assistant Coaches and Poolside Helpers, to help plan and run the squad training sessions. We also support and mentor swimmers who are participating in Swim England South East Region's Young Volunteer programme.

Competition Support Team

We have various roles to support our swimmers and coaches at competitions including Team Managers, Timekeepers and Officials. We occasionally require volunteers to chaperone the swimmers on minibuses and drive the minibuses to competitions.
Team Managers

Supports our swimmers on the poolside at competitions. Are the main point of contact for parents whilst swimmers are attending a competition. Promotes a positive team spirit.

Timekeepers

The timekeeper supports our own club competitions by checking the correct swimmer is in the correct lane and running the stopwatch to record their time.

Officials

Helps run swimming competitions by checking that starts and turns are within the rules and by recording the race time using a stopwatch. Starts at Judge Level 1 ("J1 Official") and have the opportunity to later progress to Level 2, Race Starter and Referee.

Committee Members

Decisions about the swimming club are made by the club committee, which is comprised of parents of our swimmers, masters swimmers and other adult members of our club. There are many roles within the committee with various time commitments, plus opportunities to volunteer for short-term roles such as the organisation of a specific club activity e.g. a presentation evening or an Eastleigh Schools swimming gala. Committee members are elected annually at our AGM but the committee can bring other volunteers onboard as required.
Chairperson

The club chair is the principal officer for the club and is elected by the club members.

Vice Chairperson

Works closely with the club's Chairperson, to support them in fulfilling the leadership and governance responsibilities of the club. Steps into the Chairperson's fins when they are not available.

Treasurer

The club treasurer is responsible for producing and managing the club’s accounts and finances and will oversee all income and expenditure for the club.

Secretary

The club secretary is key to the smooth running of the club. They provide a main point of contact for administration, information and communication..

Competition Coordinator

Develops and manages the ESC competitions calendar in conjunction with the Head Coach. Oversees the Open Meets Team. Coordinates entries to County, Regional and National swimming competitions.

Fundraising Officer

Provide a central point of contact for fundraising queries Takes the lead on developing opportunities for accessing
grants and funding.

I.T. Administrator

Manages and supports the club’s IT systems, such as email accounts and the club website.

Social Media Coordinator

Manages the club’s Social Media presence, posting Good Luck messages, photos, achievement and other news about the club and our members.

Club Shop Coordinator

Organises the sale of club caps, T-shirts and other products to swimmers. Liaises with the manufacturers that produce and sell our products to ensure items are despatched in a timely manner and the club is receiving good quality and good value items. (Age 18+)

Volunteer Coordinator

Responsible for overseeing volunteers within the club. Ensure all volunteers have a meaningful and positive experience. Recruit and encourage participation from new volunteers.

Masters Representative

Represents the Masters squad within the club committee.

Social Events Coordinator

Organises social events outside of the main squad training sessions. Ensures that the swimmers have FUN!

Welfare Team

Provides a first point of contact for children, parents and adults within the club who have a child safeguarding or welfare concern. The swimming club endeavours to have two or more Welfare Officers at all times.

SwimMark Coordinator

The key point of contact for SwimMark, Swim England’s recognised kite-mark for the development of effective, ethical and sustainable clubs.

Note: Eastleigh Swim Club takes child welfare very seriously and DBS checks all volunteers who work with children directly. You may also be asked to attend a safeguarding training course.

Volunteering Procedure for Poolside & Land Training Sessions

Poolside and Land Training helper volunteers are ideally older Club swimmers looking to support and train younger Club swimmers under the leadership of our Coaching staff.

Volunteering also helps older swimmers to re-affirm their own swimming techniques and promotes interaction between the Club squads.

If you are interested in becoming a volunteer, please let a Coach or Committee member know that you would like to make an application and follow the procedure below. All safeguarding procedures and checks have to be completed before any volunteering can commence.

  1. The applicant writes a letter to the Committee outlining why they want to volunteer. It should also include their date of birth, address, contact telephone number, parent name and email address (for both the applicant and parent if different). Finally, the letter should state which evenings and times you are available to volunteer.
  2. Eastleigh Swim Club Committee will consider each written request and will seek advice from the Head Coach and Coaching staff as to available session openings and candidate suitability as a volunteer helper.
  3. The Committee will then invite the volunteer to an informal interview/discussion with a Coach and Committee member to assess the volunteer's ability to communicate, their body language, and personal confidence for the role. This is essential as they will be with younger swimmers, so need to be able to conduct themselves appropriately.
  4. Successful candidate volunteers will then have a 2-week trial and throughout this trial the Coach responsible for the sessions will report back to the Committee and Head Coach. The final decision will then be made and the volunteer will be notified if successful and be told the regular sessions the Club can offer them. If a volunteer was not successful, they would be given advice on how to improve and change so they can, if they wish, re-apply after a few months.
